How to Negotiate with Wedding Vendors (Without Feeling Awkward)

Once you’ve found your dream vendor, it’s now time to talk about the serious stuff: contracts, pricing, and yes… negotiation.

And I know, negotiation can feel uncomfortable. Honestly, it feels uncomfortable for almost everyone. But wedding planning expenses add up fast, and when you’re balancing vendors, multiple events, guest counts, and hidden costs, every dollar matters. So it never hurts to ask.

Bundle multiple events together

One of the easiest ways to negotiate is by increasing the scope of work. Yes, your total investment with that vendor may end up being higher overall, but vendors are often more flexible on pricing when they’re securing multiple events across your wedding weekend instead of just one.

Ask for a group rates

Hair and makeup is another great example. The more services and people you add, the more flexibility there typically is. My hair and makeup team ended up doing my makeup, my mom’s, my mother-in-law’s, bridesmaids, and additional family members. Once the booking becomes larger, there’s usually more room to adjust pricing or include extras.

Sometimes pricing is fixed – and that’s okay. But even when vendors can’t lower their rate, they may still be willing to include something extra that adds value for you.

Timing matters more than you think

In the wedding world, timing can absolutely impact negotiation flexibility. If you’re booking your vendors one to two years in advance, especially highly sought-after vendors, there’s usually less room for negotiation because the demand is high.
